Never Send "Just Following Up" Again: Value Driven Follow Up

Overview

Golden rule number one of the entire follow up system: never, ever send "just following up." Not once. Every message you send either adds something to the prospect's day or subtracts from your credibility, and "just checking in" subtracts every single time. It says: I have nothing new for you, I am only here because your money is on my pipeline sheet.

Worse, it trains a reflex. After two or three empty check-ins, your name on their screen means nothing again, and their thumb learns to swipe past it. You are not just wasting a touch, you are burning all future touches.

Value driven follow up flips this completely. Every message gives the prospect a genuine reason to be glad you texted, which means every message resets your credibility instead of draining it, which is exactly what lets you follow up weekly for months without ever becoming that guy.

The library

There are eight core plays. Personalize each from your call notes, which is why writing rich CRM notes is not admin work, it is ammunition.

The personal callback. Reference something they shared: "Hey (name), I remember you wanted to retire in Spain. I was just looking through my old photos and wanted to share this trip I took." Zero sales content. Maximum I-actually-listened content. These messages get more replies than anything else in the library.

The life event check-in. "Hey (name), just wanted to check in and see how (the wedding, the launch, the move) went." Same energy, tied to their timeline instead of yours.

The client results share. "Just wanted to share last month's results from some of our clients to keep you in the loop. Attached is the full case study, but the short version is they got (outcome), which translates to (specific implication) on the setup we discussed." Proof plus relevance, without asking for anything.

The mirror-scenario review. "Just wanted to share a recent client review where the client was in almost the same exact scenario as you and got (outcome)." The closest thing to letting them watch their own future.

The relevant article. "Came across this article and thought of you." Only when it is genuinely relevant. Sent lazily this one becomes spam, sent precisely it is the lightest touch in the library.

The industry news hook. "Did you see the news that (thing that affects them)?" Works because it makes you a source of signal, not a source of asks.

The answered question. "Hey (name), I just had time to get back to you about (question they asked)." Even better: on the call, deliberately park one question to answer later. You are manufacturing a legitimate follow up in advance.

The honest process check, used sparingly. "Hey (name), I was thinking of you and didn't hear anything yet, wanted to see where we were on the process. Did you need any more info from my end?" This one is allowed precisely because it offers something, more info, and because it sits in a stream of value instead of being the whole stream.

The channel structure

Value is what you send. Channels are how you make sure it lands. Break your touches into a rotation: start on text. No reply, move to WhatsApp. No reply, email. No reply, call, with a hard maximum of two call attempts at separate cadences. Still nothing, restart the loop from text.

The moment they reply on any channel, that becomes home base. Someone who answers WhatsApp gets WhatsApp. You found their door, stop knocking on the walls.

And the standing rule from the priority list applies here too: any reply means dial them right away, because a reply means the phone is in their hand this second.

Cadence by temperature

Hot leads with close dates approaching get the close sequence from the follow up workflow. Warm leads get a value touch every week. Cold leads and long timelines get monthly. No-shows waiting to rebook get weekly. In every case the touches continue until they buy, block you, or explicitly say stop, which is golden rule number two. Deals close on touch twelve constantly, and by touch twelve you are usually the only rep still there.

Summary

Empty check-ins burn the thread. Value touches recharge it. Build every follow up from the eight plays, personalized from your call notes, rotated through text, WhatsApp, email, and capped calls, at a cadence matched to the lead's temperature, forever until buy, block, or stop. You can still run the results share, the article, and the news hook, which need no personal detail. Then fix your notes on every call going forward, because the personal plays outperform everything.

Is once a week too much for a warm lead?

Not when every message carries value. Frequency only annoys when the content is empty. That is the entire thesis.

Can these be automated?

The cadence reminders, yes. The messages themselves, no. The instant these read like drip emails they die, because their whole power is that a specific human clearly wrote them for a specific human.
